Job Summary
The Project Team Administrator provides day-to-day administrative and coordination support to Project Teams across the lifecycle of VIRTUS projects, from planning through to delivery and handover. This is a junior role designed to support Project Managers and wider teams by helping keep projects organized, up to date, and running smoothly.
The role focuses on administration, reporting, coordination, and communication, ensuring project information is accurate, approvals are tracked, and documentation is maintained in line with agreed processes. The postholder will work closely with Project Managers, internal teams, and external partners while developing their knowledge of project delivery within a data centre environment.
Duties and Responsibilities
Works will include the following:
· Provide administrative and coordination support across multiple projects within the European build programme
· Maintain project documentation, trackers, and information within the Project Management Information System (PMIS)
· Support Project Managers with meeting coordination, reporting, and general project administration
· Assist with raising purchase requisitions, purchase orders, and obtaining third-party quotes
· Process consultant and contractor invoices and support approval workflows
· Help ensure project deliverables and documentation are completed and submitted at key project stages
· Liaise with internal teams, external consultants, and suppliers to support project progress
· Support regular project updates and reporting to Project Managers and senior stakeholders
· Carry out other reasonable tasks as requested by the line manager
Person Specification
Previous experience working within Data Centre’s and delivery of successful projects is desired but not essential.
· Some experience in an administrative, project support, or coordination role (construction, engineering, or technical environments desirable but not essential)
· Interest in project delivery and willingness to learn
· Good organisational skills with attention to detail
· Comfortable using MS Office (Excel, Word, Outlook); MS Project knowledge is a plus but not required
· Clear written and verbal communication skills
· Ability to manage multiple tasks and prioritise effectively
· Professional, reliable, and able to work well within a team
