Job Summary
The Project Coordinator provides essential administrative, commercial and coordination support to Project Teams throughout the full lifecycle of VIRTUS projects—from planning and inception through delivery and final handover. The role ensures project administration, commercial activities and
governance processes are delivered accurately and efficiently, supporting projects to meet agreed timelines, budgets and quality standards.
The postholder will support project delivery by coordinating documentation, managing project controls, monitoring schedules, supporting procurement activities and maintaining accurate financial records within SAP. Working closely with Project Managers and the wider Design & Construction team, the role will create Purchase Requisitions (PRs), monitor Purchase Orders (POs), review invoices for commercial accuracy, process Goods Receipts (GRs), and support the administration of contracts, change orders and scope variations.
The role will provide regular reporting to the Senior Project Managers and VP of Design & Construction, ensuring governance processes are followed, risks are escalated appropriately, and internal and external stakeholders are kept informed throughout the project lifecycle.
Duties and Responsibilities
The role includes, but is not limited to:
· Provide administrative support across multiple projects within the European construction programme.
· Support the day-to-day administration and maintenance of the Project Management Information System (PMIS), ensuring accurate project reporting and documentation.
· Assist Project Managers with project planning, scheduling, reporting, documentation and project controls.
· Raise and monitor Purchase Requisitions (PRs) and Purchase Orders (POs) within SAP, ensuring all procurement activities are completed in line with company procedures.
· Review consultant and contractor invoices for commercial accuracy, process Goods Receipts (GRs), and ensure invoices are approved and processed in a timely manner.
· Support the commercial administration of contracts, change orders, variations and project documentation, maintaining accurate records throughout the project lifecycle.
· Assist with obtaining supplier quotations and coordinating procurement activities with internal stakeholders.
· Support project budget tracking by maintaining accurate financial records and highlighting any discrepancies or risks to the Project Manager.
· Assist in preparing and submitting project governance documentation, reports, workflows and project controls.
· Ensure project deliverables are completed and submitted at the appropriate stages from business case through to handover.
· Liaise with external consultants, contractors and suppliers to support successful project delivery.
· Provide regular project progress updates to Project Managers, Senior Project Managers and the VP of Design & Construction.
· Build effective working relationships across internal departments and external partners to support successful project outcomes.
· Management of SharePoint and access to project platforms– mostly through raising tickets with the IT in ServiceNow.
· Purchase of Construction Site´s office supplies.
· Company registration to the construction site (Firmenanmeldung) and visitors/access cards registration for new employees or contractors.
Carry out any other reasonable duties requested by your line manager.
Person Specification
· Previous experience in a Project Administrator, Project Coordinator or Project Support role within construction, engineering, infrastructure or data centre environments.
· Experience using SAP to create Purchase Requisitions (PRs), manage Purchase Orders (POs), process Goods Receipts (GRs) and support invoice approvals.
· Experience supporting project commercial administration, including contract documentation, variations and change control.
· Strong understanding of project administration, procurement processes and financial governance.
· Experience working with multiple concurrent projects in a fast-paced environment.
· Proficient in Microsoft Office, particularly Excel; experience using project management software is desirable.
· Excellent organisational skills with strong attention to detail.
· Strong communication skills with the ability to build relationships across internal teams, contractors and suppliers.
· Proactive, organised and able to prioritise competing workloads.
· Professional, adaptable and able to work effectively under pressure while maintaining accuracy.
Qualifications:
· Degree, diploma or equivalent qualification in Business Administration, Project Management, Construction Management, Engineering or a related discipline is desirable.
· PRINCE2 Foundation, APM Project Fundamentals Qualification (PFQ) or equivalent project management certification is desirable.
· Experience using SAP for procurement and financial processes, including Purchase Requisitions (PRs), Purchase Orders (POs) and Goods Receipts (GRs), is highly desirable.
· Proficient in Microsoft Office Suite, particularly Excel, Word and PowerPoint; experience with Microsoft Project or other project management tools is advantageous.
· Desirable: Relevant experience within the construction, engineering, infrastructure or data centre industry is desirable but not essential.
